Service Coordinator

The Service Coordinator is responsible for screening, hiring, and orientating for direct care staff, maintaining direct care staff personnel file / requirements, and performs various bookkeeping, verifying time slips.  This position is housed out of our Lebanon location.

Service Coordinator Job Duties:

  • Oversees the application process, interviewing, and orientation of new hires
  • Ensures applicants are processed timely. Applications should be processed in a two week time frame
  • Manages walk in applications
  • Reviews and processes all applications received from recruiting tools (i.e. blackstonehc.com, craigslist, career builder, indeed, pre applications)
  • Follows up with all applicants to ensure that monthly recruiting goals are met and/or exceeds monthly
  • Responsible for hanging company flyers and maintain approved advertising
  • Assists in maintaining employee personnel files, documenting and filing
  • Responsible for or assisting with maintaining direct care staff personnel file / requirements
  • Assists the staff by screening incoming calls
  • Coordinates with other Black Stone departments in order to collect needed information, paperwork, and/or information (i.e.-collection of Employer Mandate waivers, insurance enrollment paperwork)
  • Assists in basic office functions
  • Performs various bookkeeping, verifying time slips or assisting with billing and payroll functions
  • Assists with Business Development as needed: attend job or health fairs, recruitment events, PR calls with existing or potential clients
  • Assists with maintaining BCI/FBI, Applicant, Recruiting and other Logs needed to track our recruiting, hiring and retention numbers
  • Satellite Service Coordinators are to maintain office cleaning and appearance.
  • Main branch office Service Coordinators are to manage front desk coverage and appearance.
  • Performs other duties as assigned

Service Coordinator Job Requirements:

  • A high school graduate, college desired
  • Organizational skills: ability to handle multiple tasks simultaneously
  • Supervisory skills: be able to hold accountable and build rapport with direct care staff
  • Communication and Customer Service Skills: maintain employee satisfaction, increase employee base
  • Some knowledge of medical terminology, or medical related job experience, desirable
  • Basic computer skills: ability to use company software, email and maintain documentation
  • This position requires extended desk time; however, some filing is required. A person must be able to sit for long periods of time, lift files and bend or stand as necessary
  • Ability to lift light to moderate loads (25-40lbs.). Employees should not lift any weighted object above this range without the assistance of durable medical equipment (in which you have received training on its usage) or another capable person
  • Ability to maintain confidentiality and to ensure that the agency is HIPAA compliant
